Job Responsibilities
The primary function of the Human Resources Manager encompasses the orchestration and execution of key HR processes. This includes participating in recruitment efforts, screening candidates & conducting initial interviews. The executive will be actively engaged in talent management. Furthermore, the role involves assisting the reporting manager in initiating to cultivate a culture of diversity and inclusion within the organization. Employee engagement and retention strategies will be within the purview of the Human Resources Manager, contributing to a harmonious and productive workplace. Additionally, the incumbent will collaborate with the HOD to streamline administrative functions, ensuring the seamless operation of HR activities across the organization.
As a Human Resources Manager, the incumbent will play a pivotal role in the efficient functioning of the human resources department, contributing to the overarching success of the organization. This strategic position demands a comprehensive understanding of human resources principles and practices, coupled with a nuanced grasp of organizational dynamics. The executive will be responsible for playing an important role in assisting the HOD in formulating and implementing HR policies in alignment with corporate objectives, ensuring compliance with employment laws and regulations. The role involves fostering a positive work environment through effective talent acquisition, performance management, and employee relations strategies. Moreover, the Human Resources Manager will collaborate closely with the HOD, offering indispensable support in all aspects of HR operations.
- Act as the Point of Contact for domestic vendors, including medical insurance group, HR Software, and related to employee engagement activities & event management.
- Manage ticket requests for credentials creation of new resources before joining, ensuring a prepared set is ready for induction/Date of Joining (DOJ).
- Conduct counseling sessions for new employees on company policies, including Medical, PF, EOBI, and General policies.
- Handle tasks for onboarding, including data entry in the HRIS, payroll setup, and uploading of documents into the system.
- Handle the confirmation of employees, including coordination with the medical insurance team and activation of Provident Fund and leave quotas.
- Process End of Service (EOS) for employees, ensuring accurate deductions and additions are reflected.
- Update employee schedules and manage the monthly roster, incorporating changes throughout the month.
- Provide support in employee engagement activities, event management, and organizing Training & Development projects.
- Prepare, reconcile, and make corrections in payroll for discrepancies as per policy.
- Review entries of all employee timesheets in the HRIS system during payroll processing.
- Process employees' corporate payroll bank accounts in a timely manner.
- Add bonuses and commissions for eligible employees to the schedule.
- Assist the HOD in the hiring process through screening, initial interviews in Karachi (KHI) and Lahore (LHR) for all positions based on their requirements.
- Support the HOD in developing effective recruitment strategies to ensure business continuity and organizational goals including but not limited to creating a pool of candidates and holding seminars, recruitment drives and participating in job fairs.
- Advertise vacant positions for System, Network, Cloud, and Cisco Certified Professionals, along with general hirings for all departments.
- Conduct initial screening, shortlisting, and scheduling of interviews with relevant stakeholders.
- Manage negotiations and offer placements for selected candidates.
- Follow up with final candidates after offer placement for official documentation, resignation acceptance, NDA, and Terms of Employment prior to joining.
- Assist the HOD in initiating strategic HR activities, including employee engagement initiatives.
- Contribute to the development and implementation of employee engagement programs.
- Assist the HOD in strategic HR projects to enhance the overall workplace environment.
- Undertake any additional tasks assigned by the reporting manager on a need basis.
Qualifications & Requirements
- Bachelor’s degree in human resources, Business Administration, or a related field. A master’s degree or HR certification.
- Proven experience in human resources roles, with a minimum of 3-5 years in a similar HR Executive position.
- Demonstrated experience in handling end-to-end HR operations, including onboarding, employee relations, and payroll management.
- Eagerness to learn and adapt to new technologies and tools in a fast-paced environment.
- Proficient in sourcing and recruiting candidates through various channels such as job portals, social media, and professional networks.
- Excellent verbal and written communication skills, with the ability to articulate HR policies and procedures clearly.
- Experience in conducting interviews, negotiations, and making successful candidate placements.
- Strong organizational and administrative skills, with the ability to manage multiple tasks efficiently and meet deadlines.
- Experience in handling HRIS (Human Resources Information Systems) for data entry, reporting, and analytics.
- Ability to foster a positive work environment and contribute to a healthy organizational culture.
- Proficiency in payroll processing, including reconciliation, corrections, and adherence to policy guidelines.
- Familiarity with time sheet management and handling overtime calculations.
- Experience in managing relationships with external vendors related to HR services, such as insurance providers, HR software, and employee engagement vendors.
- Demonstrated ability to work collaboratively with cross-functional teams, providing HR support and guidance to various departments.
- Flexibility and adaptability to evolving HR trends, business needs, and changes in organizational structure.
